IF YOU ARE A CLIENT, OR WE ARE IN PRECONTRACTUAL NEGOTIATIONS, WE COLLECT AND PROCESS YOUR PERSONAL DATA SO THAT WE MAY FULFIL OUR CONTRACTUAL OBLIGATIONS TO YOU AS DETAILED IN OUR CONTRACT AND/OR ENGAGEMENT LETTER. PRIOR TO, DURING AND AFTER EACH SESSION WITH YOU, WE MAY MAKE NOTES IN WRITTEN FORM OR BY DIGITAL MEANS. WE MAY ALSO RECORD THE FULL SESSION, DIGITALLY. WE DO THIS IN ORDER TO ENSURE A CUMULATIVE MOMENTUM TO OUR SESSIONS - A NECESSARY PART OF OUR SERVICE. THIS ALLOWS OUR COACHING PARTNERSHIP TO KEEP TRACK OF OUR PROGRESS AND MAKE OUR SESSIONS AS EFFICIENT AS POSSIBLE. THIS ENSURES WE ARE ALWAYS, QUITE LITERALLY, ON THE SAME PAGE.

SESSION NOTES AND RECORDINGS MAY ALSO BE USED FOR TRAINING AND CERTIFICATION PURPOSES THE LATTER OF WHICH MAY INCLUDE VIEWING BY AN EXTERNAL AUDITOR OR CERTIFICATION BODY. REST ASSURED, HOWEVER, THAT THE EXTERNAL PARTY WILL NEVER BE PERMITTED TO USE THAT PERSONAL DATA BEYOND THE SCOPE OF THIS POLICY.

THE SURVEYS THAT YOU COMPLETE AS PART OF OUR SESSIONS AND THROUGHOUT THE COURSE OF OUR RELATIONSHIP ARE AN ESSENTIAL PART OF HOW WE DELIVER OUR SERVICE; WE LIVE BY THE PRINCIPLE THAT “IF YOU CAN'T MEASURE IT, YOU CAN'T IMPROVE IT” AND THEREFORE WE GATHER THAT DATA, SOME OF WHICH MAY BE PERSONAL DATA, TO ENSURE YOUR PERFORMANCE IS OPTIMISED AND OUR CONTRACTUAL OBLIGATIONS TO YOU ARE MET. WE ALSO USE THOSE DATA TO INTERNALLY DEVELOP PRODUCTS AND SERVICES.

TO GIVE EFFECT TO OUR CONTRACT WE MUST BE ABLE TO ADMINISTER ITS TERMS. IN ADMINISTERING OUR RELATIONSHIP WITH YOU, SUCH AS COMMUNICATIONS, INVOICING, SCHEDULING SESSIONS, OR CONDUCTING VIDEO CONFERENCING AND COLLABORATIVE WORKING, IT IS NECESSARY FOR US TO RECORD YOUR PERSONAL DATA IN THE APPLICATIONS THAT ENABLE US TO DO SO.

THE PERSONAL DATA YOU PROVIDE TO US WILL INCLUDE COMBINATIONS OF ANY OF THE FOLLOWING: YOUR NAME, EMAIL ADDRESS, TELEPHONE NUMBER, ADDRESS, IDENTIFICATION NUMBERS SUCH AS NATIONAL INSURANCE NUMBER, BANKING ACCOUNT DETAILS, DATE OF BIRTH, LOCATION INFORMATION, EMPLOYMENT INFORMATION, GENDER, LANGUAGE, AND MARITAL STATUS. 

THE SECURITY OF YOUR PERSONAL DATA, LIKE ALL OUR DATA AT mission focus, IS TAKEN VERY SERIOUSLY. WITHOUT TRUST, OUR SERVICES DON'T WORK. WE OPERATE AN INDUSTRY STANDARD LEVEL OF SECURITY RISK MANAGEMENT. 

ALL PERSONAL DATA ARE RETAINED FOR THE DURATION OF OUR RELATIONSHIP AFTER WHICH WE HOLD THAT PERSONAL DATA FOR A FURTHER FINANCIAL YEAR TO FACILITATE OUR TAX REPORTING AND BUSINESS MANAGEMENT. AFTER THIS RETENTION PERIOD HAS PASSED, WE IRREVERSIBLY DESTROY AND/OR DELETE YOUR PERSONAL DATA. 

IN ADDITION TO OUR CONTRACTUAL OBLIGATIONS AND DETAILS OF THIS PRIVACY POLICY, YOU HAVE OTHER LEGAL RIGHTS RELEVANT TO OUR RELATIONSHIP. WE BELIEVE THE FOLLOWING THREE ARE MOST PERTINENT; HOWEVER, THERE ARE MANY MORE THAT YOU MAY BELIEVE APPLY AND, OF COURSE, WE WILL GIVE EFFECT TO THOSE OBLIGATIONS IF APPROPRIATE:

(1) YOU MAY REQUEST A COPY OF YOUR PERSONAL DATA;

(2) THAT YOUR PERSONAL DATA IS ACCURATE; AND

(3) YOU MAY REQUEST THAT WE TO STOP USING YOUR PERSONAL DATA AND/OR THAT WE ERASE IT - THOUGH DO NOTE THAT IN SOME CASES IT MAY REMAIN NECESSARY TO RETAIN YOUR DATA, FOR EXAMPLE, IF SERVICES ARE STILL BEING SUPPLIED UNDER OUR CONTRACT OR THE DATA IS STILL WITHIN THE NECESSARY RETENTION PERIOD DETAILED ABOVE.

IF AFTER OUR CONTRACT HAS CONCLUDED YOU WISH TO MAINTAIN OUR RELATIONSHIP, WE WILL SEEK YOUR CONSENT TO DO SO INCLUDING THE CONTINUED PROCESSING OF YOUR PERSONAL DATA. THIS MAY INCLUDE SENDING YOU MARKETING MATERIAL SUCH AS EMAILS; YOU WILL ALWAYS HAVE THE ABILITY TO OPT OUT OF MARKETING COMMUNICATIONS AND, AS DETAILED ABOVE, YOU MAY ALSO REQUEST THAT WE STOP USING OR ERASE YOUR PERSONAL DATA. 

IF YOU ARE NOT A PRESENT OR PAST CLIENT AND HAVE RECEIVED MARKETING MATERIALS FROM US DIRECTLY, SUCH AS AN EMAIL ADVERTISING OUR SERVICES, THIS MEANS YOU HAVE OPTED IN TO JOINING OUR MAILING LIST or have opted in to its usage through a third party. HOWEVER, YOU MUST AND ALWAYS WILL HAVE THE OPPORTUNITY TO UNSUBSCRIBE FROM RECEIVING MARKETING MATERIALS AND WILL ALWAYS HAVE THE QUALIFIED RIGHT TO ERASURE OF YOUR PERSONAL DATA. REST ASSURED THAT IF WE ARE PROCESSING YOUR PERSONAL DATA IT WILL ALWAYS RECEIVE THE SAME CARE AND ATTENTION AS IF YOU WERE ONE OF OUR CLIENTS.
